About the role We are looking for a Practice Manager to lead and coordinate the day-to-day operations and administration of the Mapu Maia Hawke's Bay Primary Care Clinic. This is a key day-one role. You will lead clinic workflow, supervise the Medical Receptionist, support the front-door experience and make sure the systems behind the clinic are clear, accurate and reliable. This includes appointment flow, patient communications, enrolment / allocation administration, recalls, referrals, records, reporting, supplies, rosters, privacy, complaints, incidents, quality processes and practitioner support. The role is non-clinical. The Practice Manager must not provide clinical advice, diagnosis, clinical triage or treatment. Clinical questions, risk concerns or safety issues must be escalated promptly to the Nurse Practitioner, GP or Registered Nurse / Registered Nurse Prescriber through agreed pathways. The role is a permanent full-time 40 hours and is based in Hastings, Hawke's Bay. Your responsibilities include: Lead day-to-day clinic operations, clinic workflow, appointment systems, patient communications, records, referrals, recalls, reporting, supplies, rosters and practitioner support. Supervise and support the Medical Receptionist so patients, whānau and families receive a warm, culturally safe andorganized front-door experience. Maintain accurate administrative records in the approved Practice Management System / clinical record system and support secure handling of health information. Support enrolment / allocation processes, access reporting, data quality, PHO / provider onboarding, claims / fees process(s) where relevant, audit, service monitoring and quality improvement. Support Foundation Standard evidence readiness, privacy and complaints registers, incident processes, health and safety, stock / procurement and compliance administration. Coordinate appointments, warm handover logistics, referrals and follow-up administration between primary care and co-located mental health, social services and public health services. Recognize and elevate clinical questions, urgent concerns, safeguarding issues, privacy concerns, complaints, incidents or safety risks through agreed pathways. Local travel may be required for eternal meetings, outreach and stakeholder engagement. As the successful candidate, you will have: Experience in practice management, primary care administration, health administration, practice coordination, operations or service coordination. Strong organization, time management, accuracy, attention to detail, follow-through, problem-solving and communication skills. Experience supporting or supervising reception, administration or front-office functions. Understanding of confidentiality, privacy, professional boundaries and secure handling of health information. Competence using practice management systems (Indici) / clinical record systems, Microsoft Office, email, phone and video communication tools. Ability to recognize when a matter requires clinical escalation and to avoid giving clinical advice outside role boundaries. Experience with enrolment workflows, recalls, referrals, claims, reporting, quality systems, audits, complaints, stock management, Foundation Standard evidence or PHO processes would be advantageous.
