Capital Sports Medicine – Wellington Central, North Island Capital Sports Medicine is a busy, central city multidisciplinary clinic with a close-knit team of physiotherapists, sports physicians and doctors, massage therapists, and medical specialists who are all supported by a high performing front line reception and administration team. The role We are seeking a professional, highly organised and experienced Specialist Administrator to join our busy sports medicine clinic, working 35 hours per week, Monday to Friday . This is a varied and rewarding role that will suit a confident administrator who takes pride in the small details, thrives in a busy environment, enjoys building positive relationships, and delivers exceptional service to both patients and clinicians. You will play a key role in supporting our doctors and specialists, managing patient care pathways, coordinating appointments and referrals, overseeing accounts administration, and ensuring the smooth day-to-day running of the clinic. You will also work closely alongside our existing Specialist Administrator, providing mutual support and contributing to a collaborative and positive team culture. This position would particularly suit someone who brings a mature, professional approach, excellent judgement, and the confidence that comes with previous administrative experience. About You You are a dependable and experienced administrator who enjoys being the person others can rely on. Key Responsibilities Providing exceptional customer service to patients, clinicians and external providers Managing specialist appointment schedules and clinician diaries Coordinating patient management, referrals and follow-up care Liaising with GPs, hospitals, ACC and other healthcare providers Managing incoming enquiries via phone, email and in person Maintaining accurate patient records and correspondence Processing ACC claims, reporting and related administration Data entry, document management and medical record scanning Supporting front-of-house operations and providing reception back-up when required Accounts administration, including daily banking, accounts payable and debtor management Preparing clinician rent invoices and assisting with financial administration Xero reconciliations and general accounts support Assisting with the smooth day-to-day operation of the clinic Providing administrative support and cover for other team members as required Working collaboratively with our Specialist Administrator to ensure seamless patient and clinician support Skills & Experience Proven experience in administration, specialist administration, medical administration or practice management support role Previous healthcare experience is highly desirable Strong organisational skills and the ability to manage multiple priorities simultaneously Exceptional attention to detail and accuracy A calm, professional and solutions-focused approach Excellent communication skills, both written and verbal Strong relationship-building skills and a genuine commitment to outstanding service Confidence working independently and taking ownership of responsibilities Sound financial administration experience, including invoicing, reconciliations and debtor management Experience with Xero and/or medical practice management systems (Gensolve experience advantageous) Strong computer literacy and the ability to learn new systems quickly The successful applicant must be available to start as soon as possible.
