Job Description

Lease Administrator A rare opportunity to join a well-established private property investment company, known for holding a high-quality portfolio of commercial and investment assets. This is a business that prides itself on doing things properly — polished presentation, close attention to detail, and long-standing relationships with tenants and industry partners. We're looking for an experienced Lease Administrator to take ownership of the lease management function as well as general business support. This is a hands-on, detail-driven role suited to someone who understands the mechanics of a commercial lease inside and out — and who takes real pride in getting the numbers, the dates, and the documentation exactly right. The Role You'll be the go-to person for all things lease administration. Key responsibilities include: Managing the end-to-end administration of commercial leases across the portfolio, including new leases, renewals, assignments and terminations Coordinating and actioning rent reviews — tracking review dates, liaising with valuers where required, and ensuring reviews are actioned accurately and on time Managing lease renewals, including diarising critical dates, liaising with tenants and lawyers, and preparing renewal documentation Maintaining accurate lease data and critical date registers, ensuring nothing is ever missed Overseeing tenant rent receipting and reconciliation (Xero experience highly regarded) General administrative support to Directors and wider team, helping keep the office running smoothly day to day Assisting with coordination of marketing material for new acquisitions, developments, and listings Supporting office management functions, including supplier and contractor liaison, meeting coordination, and maintaining a well presenting office environment Assisting with ad hoc projects across the business as they arise About You You’ll bring genuine commercial lease experience — whether from a property management, lease administration, or property accounting background — along with a sharp eye for detail and organisation skills to keep an office running smoothly. You will likely have: Proven experience in commercial lease administration, property management, or property accounting A solid working knowledge of commercial lease terms, including rent review mechanisms (CPI, market, fixed) and renewal processes Strong organisational skills and the ability to manage multiple tasks and competing priorities Confidence working with numbers and reconciliations (Xero experience a strong advantage) Excellent written and verbal communication skills, with the professionalism to liaise directly with tenants, lawyers and senior stakeholders A polished, proactive approach — this is a business where presentation and precision matter Why Apply This is a genuinely rare role with a private, high-calibre business that offers stability, autonomy, and exposure to a premium property portfolio.
