Key facts Location: Gisborne, Tairawhiti Engagement: Full-time What you'll do Provide comprehensive administrative support to the programme management team, ensuring that all documentation is accurate and up-to-date. Coordinate meetings, including scheduling, preparing agendas, and taking minutes to ensure effective communication among team members. Assist in the preparation of reports and presentations, compiling data and information from various sources to support decision-making processes. Manage and maintain electronic and physical filing systems, ensuring that all records are organized and easily accessible. Act as the first point of contact for internal and external stakeholders, responding to inquiries and directing them to the appropriate team members. Support the planning and execution of events and workshops, including logistics, materials preparation, and participant communication. Monitor and track project timelines and deliverables, providing updates to the team and ensuring that deadlines are met. Collaborate with cross-functional teams to streamline administrative processes and improve overall efficiency within the organization. Assist with budget tracking and financial reporting, ensuring that all expenditures are documented and aligned with project budgets. Facilitate onboarding processes for new staff and volunteers, providing them with the necessary resources and information to succeed in their roles. Participate in continuous improvement initiatives, identifying areas for enhancement within administrative functions and proposing solutions. Maintain confidentiality and adhere to privacy regulations when handling sensitive information related to programs and stakeholders. Requirements Proven experience in an administrative support role, preferably within a healthcare or community services environment. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software. Excellent verbal and written communication skills, with the ability to convey information clearly and professionally. Exceptional organizational skills, with a keen attention to detail and the ability to manage multiple tasks simultaneously. Ability to work independently as well as collaboratively within a team, demonstrating flexibility and adaptability in a dynamic work environment. Strong problem-solving skills, with the capacity to identify issues and implement effective solutions. A commitment to upholding confidentiality and ethical standards in all aspects of work. Nice to have Experience with database management and data entry, particularly in relation to health programs or community services. Familiarity with financial tracking and reporting processes, including budget management. Previous involvement in event planning and coordination, showcasing strong logistical skills. Knowledge of the healthcare sector and an understanding of the challenges faced by community health organizations. A relevant qualification in administration, business, or a related field. Skills & tools Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience with project management tools (e.g., Trello, Asana) Familiarity with database management systems Strong communication and interpersonal skills Excellent organizational and time management abilities Practical notes This position is based in Gisborne, Tairawhiti, and may require occasional travel within the region for meetings or events.
