The City Operations & Transport Customer Experience team is the heart and backbone of our department, providing business support services that keep our core services running smoothly. Te Āheinga - The Opportunity As a City Operations Administration Assistant, you’ll play a critical role in supporting multiple operational functions across Council. You’ll provide high-quality administrative support, manage information and records, coordinate service requests, and ensure our processes run smoothly and efficiently. This is a varied role that offers exposure to fleet and plant administration, finance and payroll processes, transport and roading, waste services, customer experience and service delivery and general operational support. You’ll be encouraged and supported to identify improvements, streamline processes and contribute to a better experience for both internal and external customers. Key aspects of the role include: Delivering exceptional customer service by responding to enquiries and coordinating service requests. Supporting fleet and plant operations through record management, maintenance coordination and supplier administration. Providing finance and payroll administration, including purchase orders, invoice processing and timesheet administration. Supporting waste services administration and maintaining accurate operational information and records. Identifying patterns, trends and reporting on insights for internal teams. Identifying opportunities to improve processes. Supporting and championing the implementation of new systems and ways of working across the department. Events and social activity coordination, fostering a culture of recognition and celebrating success across the department. He kōrero mōhou - About You You’re an experienced administrator who thrives in a fast-paced environment and enjoys juggling a variety of responsibilities. You’re highly organised, resilient and curious, with a natural ability to identify opportunities to make things work better. You’ll bring: Proven administration experience, ideally within a complex operational environment. Strong organisational skills and the ability to manage multiple priorities while maintaining accuracy and attention to detail. Excellent communication and relationship-building skills, with a genuine commitment to outstanding customer service. Confidence using technology and learning new systems quickly. A proactive mindset, willingness to challenge the status quo, and enthusiasm for continuous improvement. Energy, positivity and a collaborative approach that contributes to a great team culture. You will be based at our operational site in Onekawa, Napier. The annual salary package for this role is between $66,223 - $74,013 (including KiwiSaver), with the final offer depending on your skills and experience.
