About the Role We are seeking an organised and detail-focused ClinicalRecords Officer to join our Clinical Records team. This role plays a vital part in ensuring the accuracy, integrity, security, and accessibility of patientinformation to support high-quality patient care and service delivery. Working within Mental Health Services, you will provideefficient records management, data integrity support, and administrativeservices while ensuring compliance with legislative requirements including thePrivacy Act and Health Information Privacy Code. This varied role requires excellent organisational skills,strong attention to detail, and a commitment to delivering a high standard ofcustomer service. As part of the Administration and Clerical Pay Equity Claimsettlement this role has beenmapped to National Band 3/Profile 3Step1 to 3 (final placement step is dependent on skills, knowledge and experience) For further information about the administration andclerical pay equity settlement please followthe link below: Processingrequests for patient records and health information in a timely andaccurate manner. Managingthe receipt, tracking, storage, and retrieval of clinical records. Maintainingaccurate electronic and paper-based patient records. Creatingand maintaining psychology test files and mental health correspondencefiles. Combiningand volumising records to ensure patient information is complete andaccessible. Maintainingthe computerised medical records tracking system. Filing,tracking, and auditing clinical records to ensure data accuracy andcompliance. Providinghigh-quality reception, telephone, and administrative support services. Supportingdata integrity activities, including: NewNHI registrations Investigatingpotential duplicate registrations Respondingto Ministry of Health identity-related enquiries. About you Skills and Experience Provenexperience in an administrative role within a complex organisation. Excellentcomputer skills, including proficiency in Microsoft Word and Excel. Strongorganisational and time management skills with the ability to prioritisecompeting demands. Exceptionalattention to detail and commitment to accuracy. Acustomer-focused approach with excellent verbal and written communicationskills. Abilityto work effectively both independently and as part of a team. Abilityto organise, maintain, and disseminate information efficiently. Commitmentto developing an understanding of Te Tiriti o Waitangi and culturalcompetency in healthcare. Professionaland positive approach to teamwork and self-care. Knowledgeof National Health Information Systems and Patient Management Systems. Experiencewith terminal digit filing systems. Understandingof the Health Information Privacy Code. Previousexperience within healthcare or community health services. Knowledgeof medical terminology. Experienceworking with clinical records or patient information.
