Te Herenga Waka - Victoria University of Wellington is currently recruiting a Mata Ahupae - Administrator to join Te Herenga Waka University Press in a permanent, full-time role. You will coordinate the Press's day-to-day administration, including sales, royalties, invoices, contracts, stock and databases, while also supporting publicity and events. This is a varied, hands-on role in a small, collaborative team. While flexible working arrangements may be available, the position requires a daily office presence. Key responsibilities: Process orders, invoices, receipts and payments, and maintain accurate financial, sales and royalty records. Coordinate contracts and payments for independent contractors and support financial and grant reporting. Manage stock, shipping, distribution, print orders, e-book supply and the annual stock take. Maintain databases and records for authors, titles, customers, contractors and submissions. Help keep the office running smoothly and provide administrative and logistical support for publicity, marketing and events. You will be an organised and service-focused administrator who enjoys bringing structure to a varied workload. You will work accurately, manage competing priorities and build positive relationships with colleagues, authors, contractors, suppliers and customers. Key requirements: Experience in office administration and coordination, including financial and administrative processes. Strong organisational skills, attention to detail and the ability to prioritise work and meet deadlines. Experience in maintaining databases, records and accurate information. Excellent communication and customer service skills. Confidence using Microsoft Office, particularly Excel and Word. An interest in books, literature or publishing. Experience in publishing, bookselling, libraries, arts administration or higher education would be an advantage. Close date for vacancy: 25 August 2026.
