They are looking for an exceptional Executive Assistant to work alongside the Chief Executive and help keep a busy, connected organisation running brilliantly. This is a permanent, full-time role based in the Wellington CBD. Could this be you? You’re one of those people who is naturally organised. You spot what needs to be done, take the initiative, and enjoy creating order in a busy environment. You’re comfortable juggling competing priorities, you think ahead, and you don’t need to wait to be asked before getting things moving. You’ll bring energy, sound judgement, and plenty of initiative – and you’ll enjoy being the person who helps a busy Chief Executive stay one step ahead. Importantly, you don’t need to come from a traditional Executive Assistant background. Pperhaps you’ve coordinated projects, supported senior leaders, organised meetings, or committees, or had some exposure to governance. If you’ve written meeting minutes, tracked actions or supported a Board or governance group, we’d particularly like to hear from you. About the role This is a broad and varied position where no two days will be quite the same. You’ll work closely with the Chief Executive, Senior Leadership Team and Board, providing high-quality executive and governance support and helping ensure decisions turn into action. You’ll also play an important role in keeping the wider office humming. That includes coordinating staff onboarding and offboarding, managing office requirements, and even helping bring the team together through social events. You’ll be joining a collaborative, welcoming team with a great office culture and a strong sense of connection. Your responsibilities will include: Executive and administrative support to the Chief Executive Board and governance support, including meeting coordination, collation of board papers, minute taking and action tracking Diary, inbox and priority management Coordination of regular national and international travel Stakeholder and relationship management Supporting confidentiality, compliance and good organisational practice Coordinating corporate and office services Staff onboarding and offboarding Helping coordinate team and social activities What will make you stand out? Is exceptionally organised and enjoys bringing structure to a busy environment Takes initiative, anticipates what’s coming and acts without needing to be prompted Can confidently manage competing priorities, complex diaries, and busy inboxes Communicates exceptionally well and builds strong relationships with people at all levels Has good judgement and knows how to read the room Has some experience taking meaningful, action-focused meeting minutes – ideally in a governance environment Is comfortable working with senior leaders and handling sensitive or confidential information Is solutions-focused and confident enough to suggest a better way of doing something Has an appreciation of Te Ao Māori and a genuine desire to integrate this into their work Is confident using Microsoft Office; experience with SharePoint or CRM systems would be useful Above all, you’ll be someone the Chief Executive can rely on – organised, resourceful, discreet and proactive, with the confidence to contribute your own ideas rather than simply wait for instructions.
