About the Role The Clinical Administrator plays a vital role in supportingpatient access to healthcare services by coordinating bookings in accordancewith Health New Zealand and Ministry of Health (MoH) guidelines. This rolecontributes directly to the achievement of health targets and operates underthe guidance of the Team Leader, Service Manager, and Clinical Director orTriaging Clinician. As part of the Administration and Clerical Pay Equity Claimsettlement this role has been mapped to National Band 4/Profile 4 Step 1 to 3(final placement step is dependent on skills, knowledge and experience) For further information about the administration andclerical pay equity settlement please follow the link below: Scheduleand manage patient bookings for outpatient and inpatient services,including planned care procedures, in accordance with Health New Zealandand MoH standards and guidelines. Supportthe smooth flow of outpatient clinics by managing patient arrivals anddepartures. Collaboratewith clinical and administrative teams to ensure patients receive timelyaccess to care, and that booking processes align with service deliverygoals. Maintainaccurate records and data entry to support reporting and compliance withhealth targets. Key Result Areas Transcriptionduties: Dictatedletters are completed within set timeframes (usually 3-5 days) Writtenwork is presented and accurate. Allletters and outgoing correspondence is processed and distributed within 24hours of sign-off by clinicians Customer Service Maintaina genuine focus on excellent customer service. Conductall interactions - with patients, clinicians, and colleagues - withrespect, empathy, and professionalism. Alwaysmaintain patient confidentiality and privacy. Front of House Deliverfront of house duties with excellent customer service skills. Checkand update the patient management system for accurate patientdemographics. Referpatients who are clearly unwell or infirm immediately to nursing staff. Adhereto Health New Zealand / MoH booking guidelines and standards. Ensureall electronic data input is timely, accurate, complete, and auditable. Communicateclear, concise, and timely booking information to patients. Seekclinical direction as required, particularly for re-categorisation queriesfrom referrers. Accountfor pre-booking requirements, including the timing of diagnostic tests. Makeclinic bookings in line with the clinic template. Maintaina high level of clinic utilisation. Minimisecancellations by working within the six-week booking horizon. Undertakeclinic preparation and outcome processing as required by the clinical teamand business rules. Manageutilisation of surgical lists as agreed with the surgeon and servicemanager. Managecancellations via standardised process. Keepthe surgical wait list and SI PICS wait lists synonymous. Filterwait lists in line with service requirements, aligned with "greatestneed / longest wait" - checking with clinical and service managementif unsure. About you Technicallysavvy, with experience using data systems and the ability to quickly learnnew applications. Excellentorganisational, time management, and problem-solving skills. Highlevel of accuracy and strong attention to detail. Abilityto meet deadlines and work unsupervised. Abilityto manage and coordinate multiple inputs to achieve agreed outputs. Astrong team player. Intermediateto advanced skills in the Microsoft Office suite (Word, Outlook, Excel). Excellentkeyboard skills (50'70 wpm). Highlevel of written and verbal communication skills. Aperceptive and proactive approach to administrative work. Broadadministrative experience in a health-related field. Awarenessof and sensitivity to people from differing cultural backgrounds. Familiaritywith the public hospital system. Knowledgeof medical terminology.
