Citycare Property is looking for an Executive Assistant to work alongside our Chief Executive in a varied role that sits at the heart of the business.

You’ll help keep priorities moving, coordinate key pieces of work and support the communication, planning and day-to-day activity that keeps the business connected and on track.


What You’ll Be Doing | Nga Kawenga Takohanga

As the Executive Assistant to our Chief Executive, you’ll play an important role in keeping priorities organised, creating capacity and making sure key pieces of work continue to move forward.

This is a varied role that goes beyond diary management and taking meeting minutes. You’ll work across the Executive Leadership Team, Operational Leadership Team and wider business to coordinate priorities, manage competing demands and help turn conversations and ideas into action. You’ll also coordinate the preparation of board and executive papers, bringing together input from across the business, managing deadlines and ensuring information is accurate, clear and ready for review.

You’ll be trusted with confidential and commercially sensitive information and have visibility across a broad range of business activity, from day-to-day operations through to key projects, communications and planning.

Your day-to-day could include:

  • Coordinating key initiatives, reporting and business priorities across the organisation
  • Preparing communications, presentations and key business updates
  • Staying ahead of priorities, solving problems and keeping important work on track
  • Managing calendars, meetings and travel arrangements
  • Coordinating leadership events, planning sessions and stakeholder engagements
  • Managing confidential and commercially sensitive information with discretion and good judgement
  • Coordinating board papers and presentations
  • Using technology, systems and AI tools to simplify processes and improve efficiency

What You’ll Bring to the Table | Nga Mea ka Mauria e Koe ki te Runanga

Success in this role isn't defined by how many years you've worked as an Executive Assistant. It's about your ability to build trust, communicate effectively, think ahead and help the CEO stay focused on what matters most.

You may already be an experienced EA, or you may come from a customer service, sales, administration or coordination background where you've worked closely with senior leaders and developed exceptional relationship management skills.

We're looking for someone who brings energy, initiative and good judgement. Someone who is comfortable working with different personalities, able to challenge constructively, and thrives in an environment where priorities shift.

You'll bring:

  • Exceptional communication and relationship-building skills
  • Confidence engaging with senior leaders, executives and stakeholders
  • Strong judgement and absolute discretion when handling confidential information
  • A proactive mindset with the ability to anticipate needs and take ownership
  • Excellent organisational skills and attention to detail
  • A genuine passion for supporting others and enabling success
  • Confidence using technology, systems and emerging AI tools
  • Energy, adaptability and a willingness to learn and grow
  • Commercial awareness and an interest in how businesses operate

You’ll also need the legal right to work in Aotearoa New Zealand, and be able to complete the relevant pre-employment checks, including a medical assessment, drug and alcohol test, reference checks and a Criminal Record Check.
