We are seeking a polished and proactive Executive Assistant & Office Manager to provide high-level support to the Senior Managing Director while ensuring the Auckland office operates smoothly, professionally and efficiently. This is a varied and highly visible role, combining executive support, front-of-house ownership, office operations, event coordination, onboarding support, supplier management, health and safety responsibilities and national head office support. The Opportunity Provide direct executive support to the Senior Managing Director, including managing priorities, correspondence, meetings and day-to-day requirements with discretion and professionalism. Take ownership of the Auckland front-of-house experience, ensuring the office is clean, professional, safe, welcoming and client-ready at all times. Coordinate, set up and host client-facing events, research sessions, networking events, pitch presentations, negotiation meetings and internal training sessions. Manage meeting room and office setup, including furniture configuration, presentation standards and support for the open-plan office layout. Support onboarding for Auckland-based and national new starters, including health and safety briefings, office access, business cards and corporate headshots. Lead internal office communications, manage suppliers, process invoices and support local and national financial administration. Restock office and kitchen supplies, manage courier shipments and support the wider day-to-day running of the office. About You 3+ years’ experience in office management, executive assistance, team administration or workplace coordination. Experience in a corporate, professional services, commercial real estate or client-facing environment would be highly regarded. Confident supporting senior executives with discretion, initiative, strong judgement and professionalism. Proven office management experience across front-of-house presentation, suppliers, facilities coordination and day-to-day workplace operations. Strong capability coordinating meetings, client-facing events, presentations, internal sessions and office functions. Excellent written and verbal communication skills, with strong attention to detail and a polished, client-focused approach. Highly organised and proactive, with the ability to manage competing priorities across executive support, office operations, events, onboarding and administration. Comfortable supporting workplace health and safety processes, office inductions and fire warden responsibilities. What’s in it for you?
