About the role Are you an organised administrator who enjoys working in a busy, patient-focused environment where no two days are quite the same? We are looking for a Service Booking Administrator to join our Respiratory, Sleep and Clinical Physiology services in Dunedin. This is a varied role where your organisation, attention to detail and ability to communicate effectively will help ensure patients receive the right care at the right time. You will provide responsive booking and administrative support across outpatient clinics and procedures, managing referrals, appointments, waitlists and patient records. You will work closely with administration colleagues, nurses and clinical teams to keep services running smoothly and make sure patients and whānau are kept informed throughout their healthcare journey. The role includes: Processing and managing referrals and ensuring information is complete and accurate. Booking and coordinating outpatient appointments, tests and follow-up care. Managing waitlists and ensuring patients are progressed within required timeframes. Coordinating bronchoscopy bookings, pre-admission appointments, day-stay slots and inpatient beds when required. Communicating with patients, whānau, GPs and other stakeholders by phone, email and written correspondence. Maintaining accurate patient information and updating the patient administration system. Managing billing and invoices associated with occupational testing and equipment loans. Providing administrative support and cross-cover across the service when required. About the Team/Service/Location The District Medical Specialities & Transcription team provides booking and administrative services across the Respiratory, Sleep and Clinical Physiology teams. You will work alongside administration, nursing and clinical staff to support the delivery of timely and effective patient care. About you If you are an organised and adaptable administrator who enjoys making a difference and would like to be part of a busy specialist service, we would love to hear from you. To be successful in this role, you will have: At least two years' administrative experience. Minimum NCEA Level2. Excellent computer skills, including Microsoft Word, Excel and Outlook. Strong literacy, numeracy and organisational skills. Excellent verbal and written communication skills. The ability to manage competing priorities and work accurately within required timeframes. A strong customer and patient focus, with the ability to communicate respectfully and sensitively with patients and whānau. The ability to work collaboratively as part of a team while also demonstrating initiative and personal accountability. A strong commitment to privacy and confidentiality when handling personal information. An understanding of and commitment to Te Tiriti o Waitangi in practice. Experience or knowledge of the health sector would be advantageous.
