About the Role: We are looking for a highly organised and motivated Administration Assistant to join our busy Respiratory Medicine team at Middlemore Hospital. This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced healthcare environment and wants to make a positive difference to patients and the wider clinical team. You will provide high-quality administrative support to the Respiratory Department, helping to ensure clinics, procedures and patient appointments are coordinated efficiently and effectively. A key part of the role will be scheduling outpatient clinics and respiratory procedures, managing waiting lists and responding to enquiries from patients and health professionals. What You Will Do: Respond promptly and professionally to telephone inquiries from patients and health professionals, including queries about procedure appointments Coordinate and schedule clinic and procedure appointments in line with service requirements and referral management policies Maintain accurate and up-to-date information on departmental tracking sheets Monitor and update waiting lists on a weekly basis Provide cover for administrative colleagues during leave periods, including booking and rescheduling appointments, checking phone messages, and actioning tasks accordingly This is a full-time position, working 40 hours per week, Monday to Friday during standard business hours. About You: You are a highly organised and adaptable administration professional who enjoys working in a busy healthcare environment. You have excellent attention to detail, strong communication skills, and the ability to manage multiple priorities while maintaining accuracy and professionalism.
