Be at the heart of nationwide projects and make a real impact Coordinate a diverse range of lift installations from order through to completion East Tamaki location, office-based role WHO are we? With offices in both Auckland and Christchurch, Vestner NZ Ltd is part of a long-established, privately-owned German group that has operated in New Zealand for over 25 years. A major part of our business is manufacturing, servicing and installing lifts for a wide range of commercial and residential clients, as well as government health agencies. WHAT will you do? As our national project pipeline continues to grow, we're strengthening the way we coordinate projects across New Zealand. This newly created role will sit at the centre of that operation. This is a key coordination role supporting the delivery of lift installation projects across New Zealand. You will work closely with our installation team, customers, builders, suppliers, freight forwarders and international manufacturers to keep projects moving, from the initial sales confirmation through to installation, completion and handover to our Service team. This is an exciting opportunity for a highly organised person who enjoys taking ownership of projects and being the person who makes sure nothing falls through the cracks. You will coordinate the administrative and logistical side of multiple projects, including: Setting up new projects and maintaining accurate project information in Simpro Maintaining project programmes, key milestones and Gantt schedules Proactively chase outstanding actions and escalating risks before they impact delivery Communicating with all external stakeholders and internal teams throughout the project lifecycle Coordinating lift equipment orders with international suppliers Monitoring manufacturing progress, lead times and delivery dates Coordinating shipping, freight, customs and warehouse requirements Maintaining project commercial information, including purchase orders, supplier costs, deposits, progress claims, invoicing milestones and project cost tracking Supporting the installation team with day-to-day project coordination and administration Monitoring project progress and escalating potential delays or issues Coordinating project close-out and handover to the Service team Maintaining project, compliance, consent and handover documentation Helping improve systems, processes and reporting as the projects function continues to develop This role will be fast paced and varied. We guarantee you won’t be bored! WHO are we looking for? We need someone who knows how to juggle competing demands all at once without getting flustered. You will also be naturally customer and solutions-focused, with the ability to always have your finger on the pulse. Our ideal candidate will have: 3+ years' NZ experience in project coordination, scheduling or project administration within construction, engineering, building or infrastructure A naturally proactive approach — you don't wait to be told what needs following up Commercial awareness and an understanding that programme, cost, documentation and customer communication all contribute to successful project delivery Strong organisational and time management skills, with proven strengths in adhering to strict deadlines Excellent attention to detail and planning competency The ability to calmly manage multiple projects, competing deadlines and changing priorities Strong written and verbal communication skills Confidence dealing with customers, suppliers and contractors, with the ability to ask the right questions and establish the true status of a project Intermediate to Advanced Microsoft Office skills Experience using project management software Working knowledge of the Construction Contracts Act Lift industry experience is desirable, but definitely not essential. We are more interested in finding someone who is capable, organised, commercially-aware and the right team fit.
