Join us and take your career to the next level As a Service Dispatcher based in Auckland, NZ, you will lead the daily customer service planning and execution for a dedicated team of Service Technicians. You will oversee work allocation, manage maintenance plans, coordinate spare parts, and ensure that customer problems are resolved promptly to maximise machinery uptime. In this role, you will act as a key operational and administrative link between clients, technicians, and service management, ensuring safe, efficient, and high-quality service delivery. What Are Your Key Responsibilities Daily Service Planning: Oversee and coordinate daily service planning and execution, ensuring work allocation is properly and fairly distributed to the Service Technicians. Operations & Resource Management: Manage the complete operations of allocated sites, workshops, and machines, while monitoring KPIs around utilisation, efficiency, and overhead costs. Customer Service & Coordination: Act as the main contact for customer service, ensuring client problems are attended to promptly, and working in close cooperation with them to proactively plan service and ensure operational uptime. Administration & System Management: Prepare, finalise, and close service orders in SAP (ensuring closure within 7 days of last labour), order parts, update maintenance plans and contract conditions, and approve Technicians’ daily work time. Reporting & Quality Assurance: Ensure job reports are filled out correctly and submitted daily, compile information regarding warranty issues, and produce performance reports as expected for the job or required by clients. Safety & Team Support: Actively promote and participate in all Kalmar safety requirements, whilst providing both technical and administrative support to staff to maintain open dialogue and effective communication. What You Bring To The Role Experience & Qualifications: You hold a relevant Trade qualification (or equivalent) and have a minimum of 5 years' experience in a heavy-machinery or field service environment. Planning & Coordination Skills: Excellent planning, time-management, and analytical skills, with a logical mindset to investigate and anticipate coordination issues. Systems Knowledge: In-depth knowledge of SAP and proficiency in service management tools (such as Kalmar Insight, Kalmar Klick, QlikView, or QlikSense). Interpersonal & Communication Skills: Strong written and verbal communication skills, with outstanding interpersonal skills to deal effectively with all internal and external stakeholders. Customer-Centric & Assertive Mindset: Excellent customer service skills combined with the diplomacy and assertiveness required to handle emergency requests and resolve problems promptly. Team Player & Leader: A collaborative team player with strong leadership qualities who demonstrates compliance and commitment to the company’s core values.
