About us Space King is a well-established New Zealand portable buildings company, with yards in Waipū, Silverdale and Putāruru. We design and construct portable buildings for both residential and commercial use, delivering high-quality, durable, functional structures. Position summary The Inventory & Operations Administrator keeps our inventory system (Unleashed) accurate and up to date, from raising purchase orders when we order stock, through to receipting deliveries once they physically arrive. The role makes sure everything we order is tracked, everything we receive is checked against the paperwork, and everything is entered into the system correctly, on time, and with the right costs. Accurate stock records are the whole point of the role, so it suits someone who takes real pride in getting the detail right. The role also looks after the customer side of our jobs once a sale is confirmed. Our owner handles all sales and quoting by phone; from the moment a customer says yes, the job comes to you. You'll book deliveries, repairs, pick-ups and building moves in Tradify, work out when a building will be available, line up the customer’s preferred date with our drivers, and follow it through to make sure it happens on the day. Alongside this there's general administration work that comes in each week and needs picking up as it lands. You’ll work mainly from home, but you’ll need to be Auckland-based: you’ll come in to our Silverdale office for training to begin with, and again for further training and new projects as the role grows, and as needed when we all need to be working in the office together. Key duties and responsibilities Inventory and purchasing Raise purchase orders in Unleashed when stock is ordered, with the correct product codes, quantities, price and currency Keep our incoming-stock (WIP) tracker up to date — recording order status and estimated arrival dates from supplier and shipping emails Coordinate with yard staff when deliveries arrive to confirm what has physically been received against the packing slip Check delivered quantities against the purchase order, and identify shortages, over-supply, damage or incorrect items Receipt the correct quantities into the correct warehouse in Unleashed, promptly and accurately Add freight and landed costs to purchase orders, and finalise them once all costs are in Follow up suppliers by email to resolve shortfalls, incorrect deliveries or pricing discrepancies Organise the regular full stocktakes (every couple of months): set the stocktake up in Unleashed, send it to the warehouse team to count, then upload the returned counts, investigate discrepancies and arrange recounts Run the weekly cycle counts: each warehouse counts one stock group per week — you organise and send these out, receive the counts back, and check and investigate any discrepancies Process the build BOMs each week for both warehouses — making sure the right components are taken out of stock in the system and correctly built into each finished portable building File supplier invoices, packing slips and freight documents against the correct purchase order Flag any stock discrepancies or system issues to the owners Delivery and job coordination Take the handover once a customer has confirmed, and become their point of contact for the booking Explain to the customer how our delivery process works Check in Xero that the transport quote has been paid in full and for the correct amount, we do not deliver until transport is paid Work out whether the building is available, or when it will be, and match the customer’s preferred date with driver availability Book the delivery in Tradify and follow up to make sure the drivers deliver on the booked date Once delivered, check the driver has uploaded the delivery form with the contract, ID and all fields completed Set up weekly invoicing in Xero and move the job into the completed section in Tradify Book in repair work as it comes up Book in pick-ups when a customer ends a hire or when the owner confirms a pick-up is needed On completion of a pick-up: check the team’s Tradify forms are filled out, move the stock back to available, switch off the auto invoices, and email the customer their outstanding balance Arrange building moves for existing customers, including having the transport quote done and lodging the move in the system Help customers source a third-party hiab company where one is needed: we deliver by trailer, so you’ll find a suitable hiab operator near them, send through photos of the access and lift-over point, and keep a running list of good operators by region (the customer contracts and pays the hiab company directly) Escalate to the owner where a delivery date cannot be made to work, or where payment terms need a decision General administration Pick up the general admin work that comes in across the business each week, prioritising it alongside the inventory and booking work Skills and experience required Excellent written and spoken English Exceptional attention to detail and a commitment to accuracy, this is the heart of the role Confident, friendly communication with customers by phone and email Confident using inventory or accounting software and spreadsheets (experience with Unleashed, Tradify or Xero is a plus, but we’ll train the right person) Methodical and organised, able to follow a documented procedure precisely Able to juggle several jobs at once and keep track of what’s outstanding without things slipping Happy to pick up whatever admin lands that week, no two weeks look quite the same Comfortable with numbers and stock counts, able to spot, investigate and resolve discrepancies rather than just record them Reliable, honest and trustworthy, you’ll have access to our systems, customer records and supplier information Able to work independently from home with your own computer and reliable internet Auckland-based and able to come in to our Silverdale office for training and project work Previous experience in inventory, purchasing, logistics, scheduling or office administration preferred The details This is a part-time permanent role with a guaranteed 15 hours per week, rising to as many as 20 hours in busier weeks (for example during stocktakes or when several containers land, and when extra admin work is required), by agreement. In quieter weeks, any of the guaranteed hours not needed for inventory work can be made up with other admin work across the business. Because deliveries, bookings and counts need to be handled promptly, the hours suit regular sessions across the week rather than one long block. We’ll provide a work phone and number for customer contact. Pay is $28–$32 per hour depending on experience. Training is provided. This role has a genuine growth path: for the right person, there’s real opportunity for the hours to increase over time, potentially toward full-time as the business grows, and for the role to broaden into wider administrative and operations work as trust and capability build.
