Whitireia and WelTec are seeking an experienced and highly organised International Programme Delivery Coordinator to support the successful delivery of our School of Innovation, Design and Technology programmes with offshore international partners. This is an exciting opportunity to work at the centre of international education, coordinating programme logistics, supporting academic staff travelling overseas, and building strong relationships with partner institutions across the globe. About the Role Reporting to the Operations Manager, you will play a key role in ensuring the smooth and efficient delivery of international programmes delivered through offshore partner institutions. You will coordinate operational requirements before, during, and after international programme delivery while providing high-quality administrative support across the School. This role will require some flexibility in working hours, including availability outside normal office hours during peak travel periods and to accommodate different time zones. Flexible working arrangements will support these requirements. Your responsibilities will include: Coordinating international programme delivery logistics and operational support. Managing travel arrangements, approvals, visas, insurance, accommodation, and related documentation. Acting as a key point of contact for travelling staff and international partners. Monitoring programme readiness and supporting risk management activities. Maintaining accurate records, financial documentation, invoices, and reporting. Supporting cultural awareness and travel preparedness initiatives. Providing professional administrative support across a range of school activities. Contributing to process improvement and the development of efficient administrative systems. Building positive working relationships with staff, students, and international stakeholders. About You Proven experience in an administration, coordination, or operations role. Experience working in a regulated environment. Experience engaging with international colleagues, partners, or stakeholders. Strong organisational and planning skills, with the ability to manage multiple priorities. Excellent communication and relationship-building abilities. Advanced attention to detail and strong analytical skills, particularly with spreadsheets and reporting. The ability to remain calm and effective when responding to unexpected issues or changing priorities. A proactive, solutions-focused approach and a commitment to excellent customer service.
