Endoscopy on Clarence – Hamilton, North Island Endoscopy on Clarence is a purpose-built endoscopy centre in central Hamilton, fitted out with current technology and set up to deliver first-class facilities for our patients, our staff and the specialists who work with us. We are looking for an experienced Bookkeeper / Administrator to join our team. This is a key role behind the scenes. You will look after the day-to-day finances of the practice and support the wider administration of the facility, working closely with the Practice Manager and the rest of the team. The person in this role will be organised, accurate and discreet, and will take pride in keeping the books in good order. Hours are negotiable between 7 am and 6 pm, Monday to Friday. Key Requirements Real day-to-day experience in Xero. You should be comfortable handling bank reconciliation, invoicing and payables. New Zealand payroll experience. Exceptional attention to detail. Previous experience with data entry and accurate record keeping. Discretion and an understanding of patient confidentiality. This is a healthcare setting. Excellent communication skills, both with the team and with suppliers, insurers and patients. The ability to work autonomously and manage your own workload. Experience in a medical or healthcare setting would be an advantage, as would familiarity with insurer and ACC billing. No knowledge of endoscopy is required. We will show you what you need to know. Job Description 1. Invoicing and Debtors Raise and issue patient, insurer and third party invoices accurately and on time. Follow up outstanding accounts and keep the debtors ledger current. Verify insurance and billing details in conjunction with the reception team. 2. Accounts Payable Process and code supplier invoices. Prepare payment runs for approval. Reconcile supplier statements and resolve queries. 3. Payroll Process fortnightly payroll. Maintain leave records and employee payroll information. File PAYE and manage related returns and payments. Reconcile all bank accounts daily. Code transactions accurately and keep Xero up to date. Investigate and clear any unreconciled items promptly. 5. Information Management Maintain accurate and up-to-date financial and administrative records. Handle patient and staff information confidentially and in line with health information privacy requirements. Assist with the completion of administrative forms and documentation as needed. 6. Administration Liaise with suppliers and equipment providers, and manage ordering and stock records. Handle correspondence, filing and general office administration. Provide administrative support to the Practice Manager as required. Work alongside reception, nursing and specialist staff to keep information flowing. Support the Practice Manager with reporting and any queries from the accountant. Communicate clearly and professionally with everyone across the facility.
