Events & Programme Coordinator | The Arts Foundation Te Tumu Toi We’re looking for an exceptional Events & Programme Coordinator to join Arts Foundation Te Tumu Toi and take the lead on bringing our event and artist programme to life across Aotearoa. This is a genuinely hands-on role for someone who loves a good run sheet, can juggle multiple moving parts without dropping the ball, and gets satisfaction from making sure every detail — from the artist itinerary to the guest list to the catering — is sorted. You’ll coordinate approximately 24 small-to-medium events each year , alongside selection panels, programme activity and three major flagship events delivered with the Brown Bread events team. And because great events don't happen in isolation, you’ll also play an important role in the behind-the-scenes coordination that keeps the Foundation moving — managing guest information, supporter communications, systems, lists, follow-ups and the all-important administration that makes everything work. About the role You’ll take events from the initial brief through to delivery and wrap-up. That means: Building event timelines, production plans and run sheets. Coordinating venues, suppliers, AV, catering, furniture and all the practical bits. Managing invitations, guest lists, RSVPs and attendee communications. Briefing artists, performers, speakers and special guests. Coordinating travel, itineraries, koha and contributor requirements. Working with in-kind partners and making sure their commitments and benefits are delivered. Coordinating selection panels and other programme touchpoints. Supporting the Brown Bread events team across the Arts Foundation’s major flagship events. Keeping budgets, systems, information and documentation accurate and up to date. Supporting the wider team with lists, communications, follow-ups and general coordination. Looking for smarter, simpler ways to make things work. In short: you’ll be the person who sees what needs to happen, makes the plan, gets everyone moving and makes sure it actually happens. What kind of person are we looking for? You’ll probably have several years’ experience in events, event production, programme coordination, project management or a similarly hands‑on role. More importantly, you’ll be someone who: Is exceptionally organised and notices the details others miss. Loves turning plans into reality. Can hold multiple events, deadlines and priorities at once. Is calm, practical and solution‑focused when things change. Is confident communicating with a wide range of people. Builds great relationships with artists, suppliers, partners, donors and guests. Is happy to get stuck in — including the practical, hands‑on stuff. Is comfortable with the less glamorous but very important side of events: lists, systems, databases, follow‑ups and administration. Is digitally confident and enjoys finding better ways to do things. Knows how to chase people politely but effectively. Can work independently while knowing when to bring others in. Takes genuine pride in getting things right. You might come from an arts, events, cultural, philanthropic or not‑for‑profit background — but you don't have to. About Arts Foundation Te Tumu Toi Arts Foundation Te Tumu Toi exists to boost arts philanthropy and support outstanding artists across all art forms in Aotearoa New Zealand. You'll be joining a small, passionate team working to grow support for the arts and create meaningful experiences for artists, donors, partners and supporters across the country. Arts Foundation has been part of the Brown Bread whānau since 2019, supported by Brown Bread as its kaitiaki. The practical stuff Location: Central Auckland Hours: Full‑time, 40 hours per week Salary: $70,000–$80,000 FTE, depending on experience and capability Travel: Domestic travel across Aotearoa is part of the role Driver: Full driver’s licence and own vehicle required Hours: Semi‑regular evening and weekend work around events Why you’ll love it This isn't a role where you'll be sitting on the sidelines coordinating someone else's events.
