Strata Civil Ltd – Arrowtown, South Island Strata Civil is a growing civil construction company operating across Queenstown and Central Otago. We are seeking a reliable, organised Office Administrator to support our commercial, administrative, and systems functions. This role is well suited to someone who enjoys structure, accuracy, and helping a business run smoothly behind the scenes. You will work closely with management and project staff, supporting billing, HR administration, and the ongoing development and enforcement of company systems. Key responsibilities Accounts & Billing Support Entering draft bills and invoices into Xero Assisting with progress claims and billing preparation Maintaining accurate financial and administrative records Supporting month-end and reconciliation processes as required Office & Administration General office administration and document management Maintaining organised digital filing systems Assisting with data entry, registers, and tracking spreadsheets Liaising with external accountants and consultants as required HR & Staff Support Assisting with HR administration (onboarding paperwork, records, training tracking) Maintaining employee files and registers Supporting payroll and leave administration processes Assisting with internal communications and compliance documentation Systems & Process Support Assisting with building, documenting, and maintaining company systems Helping enforce standard processes across projects and the office Identifying gaps or inefficiencies and supporting improvements Ensuring templates, checklists, and procedures are followed and kept up to date About you We are looking for someone who is: Highly organised and detail-focused Confident working with Xero (or willing to learn quickly) Comfortable working with systems, templates, and structured processes Reliable, discreet, and professional Able to work independently and manage their time effectively Confident communicating with both office and site-based staff Previous experience in construction, contracting, or trades-based businesses is an advantage but not essential.
