Wellington Obstetrics – Wellington Central, North Island Join a compassionate specialist healthcare team making a difference for growing families Wellington Obstetrics is seeking an experienced, organised and people-focused Practice Coordinator to become an integral part of our specialist obstetrics practice. This is a varied and rewarding role where no two days are the same. As the first point of contact for our clients, you'll play a vital role in creating a welcoming, professional and supportive experience while ensuring the smooth day-to-day operation of our busy practice. About the role As our Practice Coordinator, you'll work closely with the practice manager, obstetricians, midwives and administrative team to ensure the practice operates efficiently and our clients receive outstanding care and service. Key responsibilities Providing a warm, professional welcome to all clients and visitors Managing reception, phones, emails and appointment scheduling Coordinating patient enquiries and managing expectations with empathy and professionalism Maintaining accurate patient records and registrations Processing payments, invoicing and daily EFTPOS reconciliation Supporting the smooth operation of consulting rooms and reception areas Managing office administration, scanning, mail and stock ordering Coordinating clinical, stationery and kitchen supplies Assisting with onboarding and training of new administrative staff Supporting the Practice Manager with website updates, social media and marketing initiatives Maintaining strict patient confidentiality and compliance with privacy legislation Contributing to a positive, collaborative team culture and ensuring Health & Safety requirements are met About you To be successful in this role, you'll bring: Previous experience in a medical reception, healthcare administration or practice coordination role (preferred) Outstanding customer service and communication skills A calm, compassionate and professional manner Excellent organisational skills with the ability to prioritise competing demands High attention to detail and accuracyConfidence using computer systems and learning new software Experience with Xero (desirable) Experience with patient management systems such as EXPECT or similar (desirable) Strong problem-solving skills and the ability to work independently while contributing positively to a team A proactive attitude and willingness to go the extra mile for patients and colleagues What We Offer At Wellington Obstetrics, we are passionate about providing exceptional care to women and their families throughout pregnancy.
