The successful candidate will work closely with the Director and technical staff and will be responsible for ensuring that jobs, customers and business administration are managed efficiently. Key Responsibilities Managing the day to day administrative and office operations of the business Managing existing customer relationships and responding to client enquiries Following up with existing clients regarding scheduled and recurring maintenance work Developing relationships with prospective customers and assisting the company in securing new business Preparing and following up quotations for prospective and existing clients Receiving job requests and coordinating jobs according to client requirements Planning and maintaining daily and weekly work schedules for the Director and technicians Coordinating technician appointments and allocating jobs according to availability, location and client requirements Communicating with customers regarding appointments, changes to schedules and completion of work Maintaining customer records, job histories and upcoming service requirements Preparing and issuing customer invoices, receipts and other relevant documentation Following up outstanding accounts and customer payments Processing and maintaining payroll information and employee records Maintaining timesheets, leave records and other staff documentation Coordinating administrative requirements associated with recruitment and onboarding of new employees Liaising with suppliers, customers, contractors, accountants and other service providers Maintaining business correspondence, records, invoices, receipts and other documentation Monitoring administrative procedures and implementing improvements to increase business efficiency Assisting the Director with business planning, customer development and general business administration Ensuring the Director and technicians can focus on technical and field work by effectively coordinating the company’s administrative and customer service functions Qualifications and Experience Applicants should have: A relevant NZQF Diploma or higher qualification in business, management, administration or a related field; or At least three years of relevant work experience in office management, business administration, operations management or a similar position, which may substitute for the formal qualification Either Qualification or Work experience if required Relevant experience should ideally include office administration, customer management, staff or work scheduling, maintaining business records and accounts, payroll or personnel administration, and coordinating the day to day administrative operations of a business. Skills and Attributes The successful applicant should have: Strong organisational and time management skills Excellent customer service and communication skills Ability to coordinate multiple jobs and staff schedules simultaneously Experience with invoicing, payroll and general business administration Good computer and record keeping skills Ability to communicate professionally with customers, suppliers and contractors Ability to work independently and take responsibility for day to day business administration A proactive approach to developing and maintaining customer relationships Ability to prioritise workloads and respond effectively to changing operational requirements Experience within an HVAC, trades, maintenance, construction or service based business would be advantageous but is not essential. Availability and Other Requirements Due to the nature of our business and the operating hours of our hospitality and commercial clients, applicants must be flexible and available to work weekends and public holidays when required. Applicants must have reliable access to their own mode of transport, as the position may require travel to client sites across Christchurch and surrounding areas.
