We’re looking for a Personal Assistant / Project Coordinator to support the Head of Community Hubs, Arts, Heritage and Events, and help coordinate projects and admin across the Division. This is a varied role where no two days are the same! What you’ll be doing: Providing high-quality personal assistance to the Head of the Division Managing busy diaries, email correspondence, and tracking tasks and deadlines to keep things running smoothly Coordinating divisional projects and activities, and supporting the Lead Team as needed Organising travel and training for the team Processing purchase card transactions and ensuring financial compliance Taking minutes at key meetings when required Working closely with the EA and Group Administrators to ensure consistent admin support across the wider group Responding to customer enquiries and supporting reporting functions Helping deliver one-off projects on time and within budget Exploring and applying AI tools to streamline workflows, improve efficiency, and support the Division’s evolving work programme What you’ll need to succeed Proven experience supporting senior leaders in a busy, confidential environment Very strong organisational skills and the ability to juggle multiple priorities Excellent communication and customer service skills Confidence using Microsoft Office and learning new systems A proactive mindset and a solutions-focused approach Experience in project coordination and administration About Tauranga City Council At Tauranga City Council, our work has a direct impact on the city and the people who call it home.
