ARCO Group Limited – Whangarei, North Island Executive Assistant to the Managing Director Location: Whangarei, Northland Employment Type: Full Time Executive Assistant to the Managing Director ARCO Group is one of Northland's leading commercial construction and property businesses, delivering projects across commercial, industrial, healthcare, education and property development sectors. We are looking for a highly organised, proactive and professional Executive Assistant to work directly alongside our Managing Director. This is far more than a traditional administration role. You will become a trusted partner, helping manage priorities, coordinate key business initiatives and ensure the day-to-day operation of the Managing Director's office runs seamlessly. This role suits someone who thrives in a fast-paced environment, enjoys solving problems, thinks ahead and takes ownership. About the Role Reporting directly to the Managing Director, you will be responsible for providing high-level executive support across multiple businesses within the ARCO Group. Your responsibilities will include: Managing an extremely busy diary and coordinating meetings across multiple businesses Email and correspondence management Preparing reports, presentations and board papers Coordinating travel, accommodation and itineraries Attending meetings, taking minutes and following up action items Managing confidential information with absolute discretion Assisting with project coordination and strategic initiatives Liaising with clients, consultants, suppliers and senior stakeholders Monitoring deadlines and ensuring key priorities remain on track Assisting with marketing, events and company functions when required Providing support across the wider leadership team as needed Identifying opportunities to improve systems, processes and efficiency About You You are someone who naturally stays one step ahead. You are organised, calm under pressure and able to juggle multiple priorities without dropping the ball. You enjoy working in a dynamic environment where no two days are the same. You'll also have: Previous experience as an Executive Assistant, Personal Assistant or Senior Administrator Exceptional organisational and time management skills Outstanding written and verbal communication High attention to detail Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint Confidence learning new business systems and technology The ability to work independently while using initiative A professional, positive and solutions-focused attitude Absolute integrity and the ability to maintain confidentiality Experience supporting senior executives or business owners will be highly regarded.
