We are seeking a motivated, organised, and customer-focused Receptionist / Administrator to join our team. This is an excellent opportunity for someone who enjoys working with people, provides exceptional customer service, and takes pride in keeping an office running smoothly. As the first point of contact for our clients, visitors, and callers, you will play a vital role in creating a positive and professional experience while providing valuable administrative support to the team. About the Role This is a varied and fast-paced position where no two days are the same. Reporting to the Operations Manager, you will be responsible for reception duties, managing enquiries, providing administrative support, and ensuring the office operates efficiently. Key Responsibilities Greet visitors and create a welcoming, professional reception environment. Answer and direct telephone calls promptly and professionally. Establish customer/visitor needs and make appropriate referrals. Respond to reception and administrative enquiries efficiently. Monitor and distribute incoming emails in a timely manner. Prepare property sale and purchase agreements and related documentation. Produce accurate documents within required timeframes. Maintain confidential correspondence and filing systems. Assist with meeting room setup and general office coordination. Manage stationery, kitchen supplies, and office consumables. Prepare forms, documents, pamphlets, and flyers as required. Support team members with administrative tasks and workload demands. Maintain a tidy, organised, and safe workplace. What We’re Looking For Skills and Experience Previous reception and customer service experience. Strong telephone manner and communication skills. Proficiency in Microsoft Office, including Word, Outlook, and Excel. Experience with Property Suite or in the Real Estate industry would be an advantage. Fast and accurate typing and data entry skills. Excellent organisational and time management abilities. Ability to prioritise tasks and meet deadlines. High attention to detail and accuracy.
