About the role We are seeking two talented Legal Executives / Legal Administrators to join our team on a fulltime basis. One position will be based in our Invercargill office, and one position will be based in our Queenstown office. These are key support roles within our firm, providing essential administrative and secretarial services to our legal teams. You will be the organisational backbone of our practice, ensuring smooth operations and supporting our lawyers in delivering outstanding service to our clients. Key responsibilities Providing comprehensive administrative support to legal practitioners Managing diaries, scheduling appointments and coordinating meetings for multiple lawyers Drafting and preparing legal documents, correspondence and court papers with accuracy and attention to detail Maintaining and updating legal files, case management systems and client records Processing invoicing and billing information in accordance with firm procedures Managing incoming and outgoing communications, including emails, telephone calls and post Assisting with document preparation for legal proceedings Supporting client relations by responding to enquiries and providing administrative assistance Coordinating with other departments and external organisations as required Undertaking general office administration and supporting the smooth running of the firm Maintaining confidentiality and adhering to professional legal and ethical standards What we're looking for Proven experience working as a legal secretary or administrator, preferably within a law firm environment Proficiency with legal case management software and Microsoft Office applications Excellent typing and word processing skills with the ability to produce accurate documents Strong organisational abilities with the capacity to manage multiple tasks and priorities simultaneously Exceptional communication skills, both written and verbal A high level of discretion and ability to handle confidential information professionally Attention to detail and commitment to accuracy in all work produced Professional telephone manner and strong customer service orientation Ability to work independently and as part of a team Familiarity with legal terminology A proactive approach and willingness to support the wider team What we offer We are committed to creating a positive and supportive working environment for our employees.
